Many businesses copy data by hand between systems every day: a form submission into a spreadsheet, a new order into the accounting system, a lead into the CRM and a WhatsApp notification to sales. Workflow automation tools such as n8n do this for you.
What n8n does
n8n lets you build workflows visually: a trigger (a new form entry, an email, a schedule, a webhook) followed by steps that call other services, transform data and make decisions. It has integrations for hundreds of popular apps and can call any API.
Why self-host
- Data stays with you: customer data passes through your server, not a third party's.
- Predictable cost: you pay for the server, not per workflow run, which matters once automations run thousands of times.
- Flexibility: custom code steps and access to internal systems on your network.
What you need
- A VPS with 2 vCPU and 4 GB of memory is a comfortable start for most small and medium workloads.
- A domain or subdomain, such as automation.yourbusiness.com, with HTTPS.
- A database such as PostgreSQL for production use, rather than the default file-based one.
- Regular backups of the database and n8n's encryption key; without the key, saved credentials cannot be decrypted.
Run it safely
- Protect the editor with strong authentication, and do not expose it without HTTPS.
- Keep n8n updated; automation tools hold credentials to many systems, which makes them a valuable target.
- Limit which webhooks are public, and validate incoming data.
Ideas to start with
- New website enquiries create a CRM lead and notify the sales team.
- Paid invoices update a spreadsheet and send a thank-you email.
- Daily report of orders or tickets sent to management.
