Why your business should stop using free email addresses

An address on your own domain looks more trustworthy, stays with the company when people leave and is harder to impersonate.

Many small businesses start with a free email address, and many never change. Yet the address on your quotes and invoices says a lot about how established you are.

Trust at first glance

A message from sales@yourbusiness.com looks like it comes from a company. The same message from a free webmail address looks like it could come from anyone, and customers have learned to be cautious about that.

The company owns the mailbox

When an employee uses a personal free account for work, their client conversations leave with them. With addresses on your own domain, the company creates the mailbox, controls the password and can hand the mailbox to a successor.

Harder to impersonate

Anyone can open a free account with your company name in it. Nobody can send from your domain if you publish SPF, DKIM and DMARC records, so customers and email providers can tell real messages from fakes.

Better deliverability

Business email on a properly configured domain is trusted by Gmail, Outlook and other providers. That matters even more since large providers began enforcing sender authentication; see what Gmail, Yahoo and Outlook now require.

Addresses that fit your structure

Create addresses for people (ahmed@) and for roles (sales@, support@, accounts@), forward roles to whoever is responsible, and change it when people change.

What it costs

Less than most people expect. A single mailbox on your domain starts at under 60 Egyptian pounds a month, and team plans cover dozens of mailboxes.

At IDX

IDX business email plans range from a single mailbox to team plans with up to 100 mailboxes, each with webmail, IMAP and POP3, Outlook and phone support, and antispam and malware filtering. If you do not have a domain yet, you can register one at the same time.
